MarillionEx ("we", "our", "us") is an indigenous silviculture consultancy providing woodlot establishment, management, carbon credit brokerage, and ESG compliance services to the Zimbabwe tobacco industry. This platform ("the Platform") is operated by MarillionEx to provide clients, partners, and visitors with access to our services, data, and reporting tools.
2. Information We Collect
Information you provide directly:
- Name, email address, phone number, and company name when you submit a contact enquiry, register for an account, or communicate with us
- Business information including contracted hectares, woodlot locations, and related operational data
- Payment and billing information when processing invoices through our platform
Information collected automatically:
- Usage data including pages visited, features used, and time spent on the Platform
- Device and browser information including IP address, browser type, and operating system
- Location data when voluntarily provided through GPS-enabled field reporting tools
Field data:
- GPS coordinates, planting records, photographs, survival counts, and other field observations submitted by authorised field officers in the course of woodlot management activities
3. How We Use Your Information
We use the information we collect to:
- Provide and improve our woodlot management, carbon credit, and ESG compliance services
- Manage your client account and provide access to your portal
- Process invoices and payments
- Generate ESG reports, carbon credit documentation, and compliance records on your behalf
- Communicate service updates, report deliveries, and operational notifications
- Monitor woodlot health, planting progress, and field team activity
- Analyse platform usage to improve our services
- Comply with legal and regulatory obligations
4. How We Share Your Information
We do not sell your personal information to third parties. We may share information with:
- Carbon credit verification bodies (e.g. Verra, Gold Standard) as required for credit registration and verification
- Payment processors (e.g. Stripe) to process invoices and payments securely
- Professional advisors including legal, accounting, and audit professionals
- Regulatory authorities where required by law
- Your authorised representatives — merchant clients can access their own data through the client portal; field officers can access data for their assigned woodlots only
We do not share one merchant's data with another merchant. Client data is strictly segregated within the platform.
5. Data Security
We implement appropriate technical and organisational security measures to protect your data, including role-based access controls, encrypted data transmission (HTTPS/TLS), secure authentication, and regular platform security reviews. While we take reasonable steps to protect your information, no electronic transmission or storage system is completely secure.
6. Data Retention
We retain your information for as long as your account is active or as needed to provide our services. Woodlot management data, carbon credit records, and ESG reports may be retained for the duration of the management cycle (up to 30 years) as these records are required for ongoing carbon credit verification, timber asset valuation, and regulatory compliance.

You have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal information (subject to contractual and legal retention requirements)
- Withdraw consent for optional communications
- Request a copy of your data in a portable format
